Open the client's roster

  • Go to the client’s Roster tab.
  • If the client has never had a roster created, go to AgreementsNew Roster.
  • If a roster already exists, go to Rosters, then double-click the roster to open it.

Add a new shift

  1. Navigate to the day you want to roster.
  2. Double-click on the day to create a new shift.
  3. Enter the shift details:
    • Select the Service.
    • Add the Start and Finish time.
    • Choose the Worker.
If you’re unsure which worker to assign, leave the shift as No Carer Assigned, or click Worker Select.

Use the Worker Select button

The Worker Select tool helps you find the best worker for the shift using filters such as:
  • Gender
  • Role
  • Availability
  • Distance from client
  • Required compliance items
Once you’ve found a suitable worker, click Select.

Add notes and set up repeating shifts

  • Add any important Shift Notes for the worker.
  • On the right, toggle Shift Repeats ON if the service is ongoing.
You can set repeats:
  • Daily
  • Weekly (e.g., repeat every 2 weeks for a fortnightly roster)
  • Monthly
If selecting multiple days of the week, click Create Individual Series to generate separate repeating series.Set how long the shift should repeat by:
  • Number of repetitions, or
  • An end date
Click Done to add the shift(s) to the roster.

Edit or manage existing shifts

Single-left-click a shift to edit it:
  • Edit Appointment → edit only that shift
  • Edit Series → edit all shifts in the series
Right-click for more options:
  • Edit series from here forward
  • Delete series from here forward
  • Delete a single shift
  • Mark shift as on leave
  • Mark series as on leave
  • Show history
  • Duplicate shift

Cancel a shift

  1. Right-click the shift and choose Mark This Shift as On Leave.
  2. Select the Leave Type (e.g., Cancelled Shift).
  3. Choose the Leave Code:
    • Use the service code if charging the client
    • Choose No Code if not charging
  4. Enter the percentage to charge (e.g., 100% or 50%).
  5. Set Pay Hours:
    • Leave as normal if paying the worker
    • Set to 0 if the worker is not being paid
Click Save. The shift will turn the designated cancelled colour.

Use roster tools

At the top of the roster you’ll find additional tools:
  • Budget - Displays budget details from the client’s agreement
  • Add Client Leave - Block the client out for a period of time
  • Deleted Shifts - Reinstate previously deleted shifts
  • Delete Roster - Remove a roster
If the client is no longer receiving services, mark the roster as Completed instead of deleting it.
