Compliance items in Visualcare flow from the Maintenance area to individual worker profiles. Once configured in Maintenance, compliance items appear automatically on worker profiles based on how your organisation has set them up, including links to worker roles and worker types.

How compliance items flow to profiles

Compliance items configured in Maintenance → Workers → Worker Compliance appear on each worker’s Compliance tab. The items that appear depend on the configuration:
  • Mandatory items are added to all worker profiles automatically
  • Role-linked items are added to workers assigned to specific roles
  • Type-linked items are added to workers assigned to specific worker types
  • Items added via Add to All Workers appear on every profile

Role-based compliance

Roles link specific compliance items to groups of workers. Only workers assigned to a particular role see the compliance items tied to that role.

Setting up roles

  1. Go to Maintenance → Workers → Worker Roles
  2. Click Add Role to create a new role

  1. Open the worker’s profile and select the relevant role
Selecting a role on the worker profile

Linking roles to compliance items

  1. Go to Maintenance → Workers → Worker Compliance
  2. Highlight the compliance item
  3. Click Role Link and select the role(s) to associate with this item (you have the option to select multiple roles)
Role link for compliance items After linking, choose one of the following to push the item to workers:
  • Add to Workers by Role - adds the item to all workers with the linked roles
  • Add to All Workers - adds the item to every worker regardless of role
Worker Type works the same way. Highlight the compliance item, click Worker Type Link, select the types, and then use Add to Workers by Type to push the item.

Compliance in rostering

When you use the select button to choose a worker for a shift in client rosters, only compliant workers are highlighted by default. Compliance filtering in rostering
By default, rostering only shows workers with no expired items. To see workers with expired items, select the filter and click Expired.

Retiring or deleting compliance items

If a compliance item is no longer needed, there are two ways to retire it from Maintenance → Workers → Worker Compliance. Which option you choose depends on whether you want to keep the item’s history on worker profiles.

Editing an item to stop using it

Editing is the safest way to stop using a compliance item, because nothing is removed from worker profiles.
  1. Go to Maintenance → Workers → Worker Compliance
  2. Highlight the compliance item and click Edit
  3. Untick Mandatory and Visible to Workers
  4. Save your changes
Editing only quietens the master item. It does not remove the item from worker profiles that already have it. Any copies pushed to workers before the change will still appear on their Compliance tab.
If a compliance item is linked to a role or worker type, it will keep being added to new starters who are given that role or type, even after you have edited it. To stop a retired item coming back:
  1. Go to Maintenance → Workers → Worker Compliance
  2. Highlight the compliance item
  3. Click Role Link and deselect all roles
  4. Click Worker Type Link and deselect all worker types
  5. Save your changes
Check the role and type links whenever you retire an item. This is the most common reason a retired item keeps reappearing on new worker profiles.

Removing copies already added to workers

If an item was pushed to workers using Add to All Workers, Add to Workers by Role or Add to Workers by Type, each worker received their own copy of the item. Editing or unlinking the master item does not remove these copies. There is no bulk remove option in Maintenance. If you need an item removed from multiple worker profiles but want to keep the master item, contact the Visualcare helpdesk for assistance.

Deleting an item

Deleting a compliance item removes it from Maintenance and from every worker profile it appears on. When you click Delete, a warning appears to confirm the item will also be deleted from support worker profiles.
Deleting a compliance item is permanent and cannot be undone. The item is removed from every worker profile that has it, and there is no archive option. If you may need the item’s history later, edit the item instead of deleting it.
To delete an item:
  1. Go to Maintenance → Workers → Worker Compliance
  2. Highlight the compliance item
  3. Click Delete
  4. Read the warning, then click Delete to confirm
