Under Support at Home (SAH), only the participant’s registered provider claims from Services Australia. Services can still be delivered by someone else: a third party or associated provider engaged by the registered provider. How you set this up in Visualcare depends on which side of that arrangement your organisation is on.

Scenario 1: you are the associated provider

In this scenario another organisation is the participant’s registered provider and has engaged you to deliver services. They claim from Services Australia, not you. Your job in Visualcare is to roster and record the services, then invoice the registered provider. Because you aren’t claiming, these services shouldn’t touch the SAH claiming workflow at all.
Don’t link the participant to the Services Australia API, and don’t link these services to an SAH service code. If you do, the services will flow through to your SAH claiming screen and could be claimed in error.
1

Create the client profile

Create the participant’s client profile as normal. Leave the Support at Home tab unlinked: don’t click +Link Participant.
2

Set up services without an SAH code

In Maintenance → Services, make sure the services you deliver as an associated provider have no SAH service code in the SAH code field. If your organisation is also a registered provider for other SAH participants, create separate services for your associated provider work (for example, “Personal Care (Associated Provider)”) rather than reusing your SAH-coded services.
3

Create the agreement

Create a standard / non-SAH** **agreement for the participant, with the registered provider set as the payer, using the rates agreed with the registered provider.
4

Roster and deliver services

Roster shifts and approve timesheets as you would for any other client.
5

Export for invoicing

Go to Finance → Data Export, filter to payer, select the services and export them to your accounting software to invoice the registered provider.

Scenario 2: you claim, but a third party delivers the service

In this scenario your organisation is the registered provider and claims through the SAH claiming workflow, but some services are delivered by a third party or associated provider (for example, an allied health practice or another care provider). The participant stays linked to the API and the services stay linked to their SAH service codes, so everything flows through to the SAH claiming screen as normal. The extra step is setting up the third party so their name, rather than one of your workers, displays against those services on the participant’s monthly statement.
1

Create a worker profile for the third party

Create a new worker profile using the third party’s business name (for example, “Northside Physiotherapy”), so the name reads clearly on the statement.
2

Set the worker type

On the worker profile, go to the Finance tab and set Worker Type to Supplier or Service Provider. Click Save.
3

Record the services

Roster a shift against the third party worker profile / enter the service as an expense using the third party’s invoice. See SAH expenses for entering third party services as expenses.
4

Claim as normal

The services flow through to the SAH claiming screen. Claim them through the usual SAH claiming workflow.
On the participant’s monthly statement, services recorded against a Supplier or Service Provider worker display the third party’s name, so the participant can see who delivered each service.

Frequently asked questions

No. Services linked to an SAH service code flow through to your SAH claiming screen. Keep a separate set of services, with no SAH code, for work you deliver as an associated provider.
